PIN Controls Explained
The "Pin Control" feature allows businesses to add an additional layer of security and authorisation for certain actions within the system.
Some examples of where pin controls can be applied include:

Overbooking capacity - Requiring a pin code to be entered before exceeding the set capacity limits for a table or room

Editing capacity - Needing a pin to make changes to the defined table capacities or turn times

Amending deposit amounts - Requiring a pin to modify the deposit or prepayment requirements for a reservation

Overriding overbooking offers - Needing a pin to accept bookings that would exceed the normal capacity
This pin control system helps prevent accidental or unauthorised changes that could impact the business's operations and reservation management, whilst adding an extra layer of security and oversight for critical system settings.
Setting up PIN Controls
Site administrators can define whether a PIN is required to perform certain actions within the host app.
PIN control is off by default.
Once activated, the following screen is displayed:
The Store PIN Requirements section allows site managers to specify which actions require a PIN to be entered. Once enabled, Tables will display the PIN entry prompt whenever a user attempts to complete the action.
PIN Control Setting | Store PIN Requirements |
Allow overbook capacity | Select this check-box to display a PIN prompt whenever users attempt to override the maximum capacity for a timeslot and make a booking when there is no capacity. |
Allow overbook offer | Select this check-box to display a PIN authorisation prompt whenever users attempt to select an offer that has no capacity. |
Allow amend deposit | Select this check-box to display a PIN authorisation prompt whenever a user attempts to modify deposit and payment requirements. This option will only be displayed if liveRES Integration is enabled and the host has been authorised to amend deposit information. |
Allow edit capacity | Select this check-box to display a PIN authorisation prompt whenever a user attempts to modify capacity by locking and unlocking timeslots. (When enabled at head office and site.) If Disable Slot Locking is enabled at head office, PIN control will be disabled. |
Allow cancel bookings | Select this check-box to display a PIN authorisation prompt whenever a user attempts to cancel, no-show or delete a booking in Tables. |
The PIN definition section allows site managers to create unique PINs for all approved staff.
PINs can be created for job roles and/or individuals. This allows managers to control which staff can approve one or more of the five PIN controlled actions.
To add a new PIN
- Select Site Setup | PIN Control.
- Select Add New PIN.
- Enter a unique name for the PIN. You can enter up to 16 characters.
- Enter a unique PIN number
- Select the check-boxes that provide the permissions you want to approve for the selected user.
- Select Save to record your changes.
The PIN number must be at least four digits, up to a maximum of six.
You can edit existing PINs by changing the name, PIN number or permissions and selecting Save when complete.
Select Cancel alongside any PIN you no longer need to delete it.
Though you cannot delete the default PIN, if it is not needed you can remove all the permissions assigned to it.
